Position Title: Reception Clerk
Department: Operations
Reports To: Patient Experience Manager/Deputy Director of Operations/Director of Operations
Location: Republic of Nauru – Nauru Medical Centre (NMC)
Key Responsibilities
Patient Reception and Customer Service
- Greet and assist patients, visitors, and medical staff in a professional and courteous manner.
- Provide information regarding hospital services, departments, and procedures.
- Direct patients and visitors to the appropriate departments or staff members.
- Handle inquiries in person, by phone, or electronically.
Patient Registration and Documentation
- Register new patients and update existing patient information in the hospital information system.
- Verify patient identification, insurance information, and contact details.
- Maintain accurate patient records and ensure confidentiality in accordance with privacy regulations.
Appointment Scheduling
- Schedule, confirm, and reschedule patient appointments.
- Coordinate appointments with doctors, nurses, and diagnostic departments.
- Notify patients of appointment changes or delays.
Administrative Duties
- Answer and direct telephone calls.
- Manage incoming and outgoing correspondence.
- Maintain filing systems for patient records and administrative documents.
- Prepare basic reports and documentation when required.
Billing and Payment Processing
- Assist patients with billing inquiries.
- Collect payments for consultations, tests, and services when required.
- Issue receipts and record transactions accurately.
Coordination and Communication
- Liaise with medical staff, nurses, and administrative departments to ensure efficient patient flow.
- Communicate patient arrivals and appointment status to relevant departments.
- Assist in resolving patient concerns or directing them to the appropriate authority.
Qualifications
- High school diploma or equivalent (Diploma in Administration or Medical Office Administration preferred).
- Previous experience in a hospital, clinic, or customer service environment is an advantage.
- Basic knowledge of medical terminology is beneficial.

Working Conditions
- Based at Nauru Medical Centre, Outpatient Department and/or call center.
- Willing to work up to 12-hour shifts during night or daytime.
- Position is static in a controlled environment.

- Effective control of patient reception services and feedback.
- Comprehensive and concise data capturing.
- Feedback from operations staff, clinical teams, and community stakeholders.
